·   Welcome The chairman AH welcomed everybody to the meeting.
·
Minutes of the Last Meeting https://aspenppg.blogspot.com/p/aspen-patient-participation-group.html AH asked if there were any issues from the last minutes if not then he asked for a proposer to adopt the minutes as a true record. GK proposed and JD seconded.
·
Noticeboards GK updated the group on the progress made to the portable noticeboard. This is to be used as an information point for patients attending the surgery. It was decided to start off at two 2 hour sessions twice a month as we are a relatively small group and did not want to take on too much. The subject was decided at the last meeting to be Coughs and Colds for the winter period. We will be able to inform patients that there are other ways to seek medical attention without needing to make a Dr’s appointment during busy seasonal periods. Also to bring the PPG and its purpose to patients notice. GK has sourced some leaflets on the subject and the board can now be used. The position of the noticeboard was decided to be on the 1st floor by the round reception area. Several volunteers have volunteered and GK will co-ordinate a rota for us. The first session will begin on 23rd January between 2-3pm with GK and MH the first volunteers. Next one 29th January with KW and EW attending. Thanks to all volunteers.

·   Website blog – KG-P updated us on the work he has been doing setting up an information page on the Aspen website. This page can be found on the left hand side of the website under the Patient Participation Group heading, clicking on this takes you to a page with lots of information on. The purpose of this blog is to elevate the PPG profile, promote self care and NHS Information and promote self booking appointments. KG-P has presented this at the Gloucestershire CCG meeting for PPG members and this was really well received as an aid to patients and Surgeries as promoting use of Apps should reduce phone enquiries. There is a section for our PPG members profiles and we need to encourage as many people as possible to submit a profile and small picture to promote the Aspen PPG.
·
Patient Survey  The Annual Patient Survey is due again. There are two surveys NHS GP Patient survey and a Practice survey entitled Friends and Family Survey. These are to be held at Saintbridge and Aspen. It was decided to encorporate the surveys with the noticeboard promotion at Aspen. Volunteers were asked for and AH will coordinate a rota at Saintbridge. AH mentioned that if we are taking to patients we will need to cover ourselves so all people involved will need to sign a confidentiality agreement. This was agreed.

·   Practice Update JS There are 4 new members of the nursing team Hazel, Jess, Rebecca and Magrietha. A new ANP Angela and a new GP Dr Charlotte Fisher. We also have a social prescriber Lena which is an addition to the fraility team. The practice is also moving towards keeping the phone lines open at lunch time to be answered by our own reception team (the lunch time will still be for emergency calls only) this was a suggestion from a member of the PPG.

·   HSOC JS reported that there was a visit from the Health overview policy and scrutiny committee which involved a Council representative from the Forest of Dean coming to talk to the practice about the issues from the practice amalgamation. The same thing is happening in the Forest area and they wanted to get a heads up on any potential issues. The meeting went well and the group were impressed on how Aspen had tackled the problems and the involvement with the PPG.

·   Carers Group EB told the group of the progress Eve and Dr. Nicky Wilson have achieved in setting up a carers support group. There was a carers drop in session advertised which was attended by 67 people also some from other surgeries. This meeting was very successful with many now registered as carers and also helped people to find help in the right areas and advice. The second support session is planned soon with BBC radio advertising the session. This meeting will discuss a specified subject this month on how to become identified as a carer and therefore receive the appropriate benefits. A survey has been held through survey monkey and meetings will be held monthly and involve young carers to.
·
Any other business
KG-P Could the website blog be used to promote healthy lifestyle through exercise ie  Park Run and Hope for Tomorrow

ST Encourage patients to register for an Online Account as it is a useful tool also queried why there was only one desk at reception now instead of two or three.

The Chairman thanked everybody for there input and holding a very constructive meeting with lots of comments and opinions.
